Join Loewe in Minato-Ku, Japan as a Personal Assistant to the President. This full-time role requires native-level Japanese and fluent English, with a minimum of 5 years' experience supporting senior executives.

Role & Responsibilities

  • Manage the President's calendar, including scheduling and coordinating meetings, appointments, and travel arrangements.
  • Prepare and organize meeting materials, presentations, and correspondence in both Japanese and English.
  • Handle confidential information with discretion and maintain strict confidentiality.
  • Act as the primary point of contact for internal and external inquiries, managing correspondence and phone calls with professionalism.
  • Draft and translate documents, and interpret conversations as needed, ensuring clear and effective communication.
  • Coordinate and communicate with PAs of Executive Committee Members at Madrid and Paris HQ, Executive Secretaries within the LVMH Group, the Japan office team, external vendors, and travel agencies.
  • Coordinate all aspects of visits from headquarters and international guests, including transportation, accommodation, and meeting logistics.
  • Organize and coordinate company events, meetings, and special projects as required.
  • Administer expenses, process orders, contracts, and requests for payments efficiently and accurately.
  • Prepare and submit expense reports in compliance with company policies.
  • Maintain organized and efficient filing systems, both electronic and physical.
  • Manage office supplies and equipment, ensuring smooth office operations.
  • Undertake special assignments and projects as directed by the President.

Qualifications

  • Minimum of 5 years of experience as an executive secretary or administrative assistant, preferably in a multinational corporation.
  • Experience supporting senior executives.

Skills

Native-level Japanese and fluent English. Excellent written and verbal communication skills in both Japanese and English. Strong interpersonal skills and the ability to interact effectively with people at all levels. Excellent organizational and time-management skills. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Experience

Minimum of 5 years as an executive secretary or administrative assistant, preferably in a multinational corporation, supporting senior executives.
