Responsibilities
- Provide administrative support to the Vice President of Global Public Relations and the global PR team.
- Plan and coordinate meetings, conferences, and business travel.
- Schedule meetings, book conference rooms, and arrange necessary preparations.
- Assist in logistical preparation of conferences and meetings.
- Book and prepare comprehensive travel arrangements for international and domestic itineraries.
- Create and compile detailed Excel and PowerPoint documents for meetings.
- Manage contracts and purchase orders in coordination with procurement and leadership.
- Provide proactive support for ad hoc projects and deadlines.
- Serve as the first-line contact for the VP, handling inquiries discretely and professionally.
- Support global editorial tracking, reports, and recaps for the department.
- Initiate and maintain departmental filing, photocopying, and ordering supplies.
- Track departmental vacation schedules and coordinate time-sheets.
- Prepare accurate expense reports and reconcile invoices for key projects.
Qualifications
- At least 5+ years of assistant experience
- Excellent verbal and written communication skills
- Ability to work independently and as part of a team
- Proficient in Microsoft Word, Excel, PowerPoint, and Outlook
- Excellent organizational skills and attention to detail
- Highly organized, self-starter with strong initiative
- Ability to work on multiple projects and prioritize workload
- Resilient, diplomatic, discreet, confidential, and trustworthy
- Maturity and discretion to handle confidential matters
