- Provide comprehensive administrative support to the Vice President of Global Public Relations and the global PR team.
- Coordinate and manage calendars, including scheduling meetings and ensuring all preparations are complete.
- Assist in the logistical planning of conferences and meetings, including site selection, contract finalization, and catering arrangements.
- Organize and manage complex travel arrangements for both international and domestic itineraries.
- Create and compile detailed presentations using Excel and PowerPoint for leadership and meetings.
- Coordinate contract and purchase order management in collaboration with procurement and leadership.
- Act as the first-line contact for the Vice President, handling inquiries with discretion and professionalism.
- Support global editorial tracking and reporting for departmental and senior leadership.
- Maintain departmental filing systems and manage office supplies.
- Prepare accurate expense reports and reconcile invoices for key projects.
- Minimum of 5 years of experience as an Assistant.
- Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
- Excellent verbal and written communication skills.
- Ability to work independently with minimal supervision and as part of a team.
- Strong organizational skills and attention to detail.
- Maturity and discretion in handling confidential matters.
