Richemont Senior Facilities Assistant

- Provide comprehensive facilities support services at 15 Hill Street and other Richemont locations as needed.
- Ensure compliance with the Health and Safety at Work Act and Control of Substances Hazardous to Health regulations.
- Maintain and update Health and Safety posters on all floors.
- Operate the building's fire alarm panel and conduct weekly fire alarm tests.
- Inform new employees of fire evacuation procedures and maintain personnel listings for evacuation coordination.
- Monitor and replace light bulbs throughout the building daily.
- Act as the first point of contact on company call-out lists.
- Assist the Chairman’s office and art curator as required.
- Manage photocopier and fax paper levels, replenishing as necessary.
- Sort and deliver Royal Mail deliveries and courier packages promptly.
- Conduct mail collection and prepare outgoing post for Royal Mail, ensuring correct franking and processing.
- Maintain the franking machine and manage machine supplies.
- Ensure the tidiness and cleanliness of the Post Room.
- Monitor corporate stationery stock levels and advise Facilities Manager when stocks deplete.
- Serve as a designated company key holder.
- Perform heavy lifting and carrying as required.
- Prepare packages for dispatch by international courier.
- Maintain good working relationships with Facilities Team and external contractors.
- Liaise regularly with building staff and supervise Reception/Facilities team as needed.
- Experience in an international organization is advantageous.
- Previous reception work experience is beneficial but not essential.
- Professional demeanor with excellent telephone etiquette.
- Discretion and confidentiality in handling sensitive information.
- Diplomatic and calm under pressure.
- Flexible and committed to completing tasks.
- Strong communication skills and ability to work independently.
- Team-oriented with the capability to work solo when necessary.
- Proficient in Windows-based PC environments, including MS Word, Excel, and Outlook.
Previous experience in facilities management or a related field is preferred.
