Richemont Facilities Assistant and Switchboard Operator

- Efficiently manage the day-to-day operations of the Facilities at the Hill Street office, including coordination of the Cisco Screen Based Switchboard.
- Operate the screen-based telephone switchboard, ensuring calls are answered and processed promptly.
- Take and accurately relay messages for staff.
- Liaise with Facilities Management and telephone system maintainers regarding system faults.
- Provide training on the telephone system to staff as required.
- Control and replenish stationery stocks, including corporate supplies, in coordination with Facilities Management.
- Analyze monthly stationery invoices and report discrepancies.
- Report and monitor office machinery faults.
- Order and maintain janitorial supplies.
- Act as relief Receptionist during lunch breaks and cover for holidays and sickness.
- Handle post distribution, collection, and dispatch in the absence of the designated individual.
- Serve as Fire Marshal in the absence of the Receptionist.
- Maintain the Hill Street Intranet Page.
- Assist with meeting set-up and IT provision as needed.
- Perform additional duties as assigned based on skills and experience.
- Previous experience in a similar facilities management or administrative role.
- Professional demeanor when interacting with senior executives.
- Proficiency in MS Office Suite, including Word, Excel, and Outlook.
- Familiarity with Cisco Call Manager Telephone System or equivalent.
- Strong team collaboration and communication skills.
- Ability to maintain professionalism and discretion in a corporate environment.
- First Aid certification or willingness to obtain certification.
- Basic knowledge of SAP is advantageous.
- French language skills are beneficial but not required.
Previous experience in a facilities management or administrative role within a corporate environment is required.
