LVMH Legal Executive Assistant

- Manage a complex and dynamic calendar, prioritizing tasks effectively.
- Handle telephone calls and ensure follow-up on messages.
- Track and systematically address incoming emails.
- Oversee mail management.
- Plan meetings, teleconferences, and luncheons, both internally and externally.
- Organize international travel arrangements.
- Coordinate events such as seminars, team events, and training sessions.
- Facilitate visits from regional Legal Directors.
- Manage leave requests and telecommuting approvals for direct reports.
- File and archive documents systematically.
- Execute printing and binding tasks.
- Order and manage office supplies.
- Monitor expense reports and invoices.
- Coordinate legal budget tracking in collaboration with departmental assistants.
- Contribute to the development of a more efficient litigation reporting system.
- Track annual and semi-annual litigation reports.
- Manage audit letters for lawyers and auditors.
- Oversee document signing processes, digitization, and archiving.
- Handle translations, apostilles, certifications, and other formalities.
- Organize and maintain the legal document database, including notifications and deadlines.
- Manage training and association registrations.
- Track subscriptions to document databases.
- Distribute and organize legal journals.
- Order manuals and oversee lawyer invoice management.
- Assist in the preparation of presentation materials.
- Support the digitalization efforts of the Legal Department.
- Aid in the creation and management of databases and intranet sites for the Legal Department and Community.
- Provide suggestions for process improvements to enhance the efficiency of the Legal Director.
- Minimum of 8-10 years of experience in a law firm, with additional experience in a similar role within a large international group preferred.
- Proficiency in English.
- Excellent command of IT tools (Word, Excel, PowerPoint, SharePoint, Outlook, Teams, Zoom, etc.) and legal database management systems.
- Strong interest in legal matters.
- Meticulous attention to detail and strong writing skills.
- High level of confidentiality and discretion.
- Dynamic, adaptable, and team-oriented.
- Versatile, proactive, and capable of working autonomously.
Minimum 5 years of relevant experience required.
