- Manage requests for availability and assess feasibility for internal events and training sessions.
- Coordinate booking schedules and communicate with internal and external teams, including service providers.
- Update shared Excel files with event-related information.
- Liaise closely with catering providers, handling quotes and follow-ups.
- Assist with finalizing event setups, such as seating arrangements.
- Coordinate with security teams for event schedules and visitor lists.
- Prepare event signage and ensure readiness for the following day.
- Collaborate with the Finance team for purchase orders and billing processes.
- Ensure visitor well-being throughout events, addressing any requests such as transportation.
- Facilitate the daily setup and organization for the next day's events.
- Welcome international buyers and visitors during showroom and preview events.
- Distribute badges, stickers, and meal vouchers according to access lists.
- Manage access lists and cloakroom services.
- Coordinate transportation and dining reservations.
- Oversee meeting room bookings and bus coordination.
- Address any unforeseen issues during events.
- Participate in buyer evening events as needed.
- Support showroom activities and event organization during downtime.
- Autonomous with a strong sense of initiative and responsibility.
- Personable with excellent interpersonal and adaptability skills.
- Team-oriented with a collaborative approach to information sharing.
- Meticulous and detail-oriented.
- Flexible, versatile, and proactive.
- Patient and diplomatic.
- Strong relational skills: courtesy, friendliness, stress resistance, and responsiveness.
- Excellent presentation skills.
- Fluent in English; proficiency in a third language is advantageous.
- Proficiency in Microsoft Office Suite.
- Exceptional verbal communication skills.
- Strong organizational and multitasking abilities.
Previous experience in a similar role within the luxury fashion or hospitality industry is preferred.
Bachelor's degree in Hospitality, Business Administration, or a related field is preferred.
