Hermès Receptionist

- Manage incoming calls, distribute messages, and redirect callers to appropriate departments.
- Represent Hermès GB by providing a premium experience for all colleagues and visitors.
- Ensure all visitors and contractors are signed in and announced before accessing the building; escort visitors to meetings.
- Serve as the first point of contact for colleagues with knowledge of departmental locations and key personnel.
- Take full responsibility for the Reception experience, maintaining a customer service mindset.
- Schedule, prioritize, and reorganize meeting room bookings as necessary.
- Ensure the kitchen and tea points are well-stocked with necessary items such as milk, fruit, tea, coffee, and cutlery.
- Maintain stock levels of stationery across floors, including printer paper and envelopes.
- Arrange and track post and couriers, understanding delivery and turnaround times for high-value or stock items.
- Manage printing, laminating, and binding tasks.
- Take care of administrative tasks for the Office Manager and Senior Team as required.
- Raise or assist in raising purchase orders, ensuring company commitments are tracked.
- Process expenses for Reception and the Senior Team, submit expenses and receipts promptly, and track costs to identify potential savings.
- Conduct daily floor walks to ensure office facilities are well-maintained and operational.
- Report necessary repairs to the facilities team and act as the first point of contact with contractors.
- Maintain high cleaning standards, particularly at visitor touch points, and liaise with the cleaning company.
- Arrange catering for internal events, manage cutlery and crockery inventory, and handle meeting setup and cleanup.
- Ensure additional support is booked for events, such as waiting staff, office temps, and cleaners.
- Build and maintain mutually beneficial relationships with suppliers.
- Clear, professional, and friendly communication style, both written and verbal.
- Polished and professional demeanor, able to manage changing priorities.
- Proactive and resilient, thriving in a stakeholder-facing, admin-focused role.
- Autonomous working style with a collaborative approach.
- Strong organizational skills, managing multiple tasks and prioritizing responsibilities.

Experience in a stakeholder-facing, administrative role with a focus on customer service is preferred.
