- Manage and coordinate the schedules of Directors, ensuring anticipation of key deadlines.
- Organize domestic and international travel, including visa applications and transportation arrangements.
- Prepare and organize meetings, including booking venues and setting up necessary equipment.
- Draft, translate, and format official documents and notes.
- Assist in the preparation of presentations for the Group.
- Maintain and distribute a comprehensive calendar of team deadlines and schedules.
- Contribute to the organization of team seminars and events.
- Handle departmental mail and visitor reception.
- Collaborate closely with the Executive Assistant to the General Director of the Data, Technology, and Innovation Division.
- Oversee office space management and furniture needs.
- Order and manage office supplies and subscriptions.
- Coordinate office rearrangements and potential relocations with general services.
- Monitor and validate expense reimbursements.
- Manage and track Non-Disclosure Agreements (NDAs).
- Oversee budgetary tracking of service expenses and ensure compliance with internal procedures.
- Approximately 3 years of experience in executive assistance.
