- Manage the Director's calendar and anticipate key deadlines.
- Organize domestic and international travel arrangements, including visa applications and transportation logistics.
- Coordinate and prepare meetings, ensuring all logistical aspects are arranged.
- Draft, translate, and format official documents and notes.
- Support the team in creating presentations for the Group.
- Maintain and distribute the team's calendar, ensuring all deadlines are met.
- Collaborate with the IDO management committee to organize team seminars and events.
- Monitor team movements to coordinate related procedures, such as network access and workspace preparation.
- Ensure new employees have a fully equipped workspace upon arrival.
- Receive and distribute departmental mail.
- Oversee office space and furniture needs, managing supplies and subscriptions.
- Coordinate office rearrangements and potential relocations with general services.
- Track and validate expense reimbursements for the Director.
- Manage and follow up on NDAs and budgetary matters, ensuring compliance with internal procedures.
- Significant experience in executive assistance.
