1. Provide professional and confidential support to the Managing Director and leadership team.
2. Manage detailed travel schedules and itineraries for the Managing Director.
3. Process monthly expenses and invoices.
4. Organize company meetings, events, and lunches/dinners.
5. Handle inbound and outbound phone calls.
6. Collect, open, and forward incoming mail to appropriate staff.
7. Assist in the induction and training of new staff in office protocols.
8. Support office departments in daily activities and project development.
9. Oversee office maintenance, including material, cleaning, and facility management.
10. Manage vendors for office supplies, telecommunications, and delivery options.
11. Ensure meeting rooms are maintained to a professional standard.
12. Organize gifts for staff members as necessary.

1. Minimum 3 years of experience in an Office Coordinator or Personal Assistant role, preferably within the luxury, retail, or creative industry.
2. Exceptional organizational skills with the ability to prioritize and manage conflicting demands.
3. Proactive problem-solving attitude.
4. Experience in vendor management.
5. Strong written and verbal communication skills.
6. Proven experience in managing Microsoft Outlook Calendar.
7. Advanced skills in Microsoft Excel, Word, and PowerPoint.
