Rolex Administrative Assistant

- Provide day-to-day administrative support to the Executive Assistant and the Head of the Communication & Image division.
- Maintain and update the division head's contacts and relationships within the CRM.
- Manage calendars, schedule and coordinate internal and external meetings and appointments.
- Organize logistical arrangements for meetings, including room preparation and materials.
- Handle incoming and outgoing phone calls, mail and electronic communications with discretion.
- Manage office supplies and the economat to ensure smooth day-to-day operations.
- Coordinate travel arrangements and follow up on expense reports and reimbursement processes.
- Support cross-functional projects within the Communication & Image division and contribute to process improvement.
- Ensure accurate filing and archiving of physical and digital documents.
- Act as backup to the Executive Assistant during absences to preserve continuity of operations.
- Proven experience in a similar administrative role, ideally within an international or luxury environment.
- Practical experience with a CRM tool and confidence maintaining contact records.
- Excellent written and spoken French and English.
- Fluent use of Office suite applications (Suite Office).
- Strong organisational skills, rigor and the ability to manage multiple priorities simultaneously.
- High level of discretion and ability to handle confidential information with care.
- Ability to work autonomously while reporting regularly and contributing positively to team dynamics.

Confirmed experience in an administrative assistant role, preferably within an international, corporate communications or luxury goods environment. Demonstrated ability to support senior management and manage confidential information.
Secondary education required; vocational training or tertiary qualification in business administration, office management or a related field preferred.
