- Coordinate with the Facility Lead to ensure a well-maintained and secure office environment.
- Implement and maintain office policies and procedures for smooth operations.
- Serve as the internal point of contact for office-related inquiries.
- Manage office-related expenses, including vendor invoice validation and cost allocation.
- Organize and coordinate BPC events and activities to foster a positive work environment.
- Assist in the Employee Free Goods benefit cycle, ensuring accurate data processing.
- Implement the 5S approach to enhance workplace safety and efficiency.
- Support sustainability projects and initiatives within the office.
- Manage executive calendars and appointments, anticipating potential conflicts.
- Organize meetings with internal and external stakeholders, including logistical arrangements.
- Assist in preparing management reports, presentations, and meeting minutes.
- Arrange comprehensive travel itineraries for seamless travel experiences.
- Provide project support, including presentation preparation and data gathering.
- Tertiary education or above is required.
- At least 2 years of relevant working experience in an administrative or office management role.
- Experience in providing secretarial support to executives is advantageous.
- Excellent verbal and written communication skills in English and Cantonese; Mandarin is advantageous.
- Proven organizational and prioritization skills.
- Ability to work independently with minimal supervision.
- Strong interpersonal skills and ability to collaborate effectively within a team.
- Meticulous attention to detail.
- High adaptability and agility in a fast-paced environment.
- Strong problem-solving skills.
- Ability to handle sensitive and confidential information with discretion.
- Customer service mindset with a positive attitude.
- Proficiency in Microsoft Office applications; familiarity with SharePoint is a plus.
Minimum 3 years of experience in an administrative or office management role, with a preference for candidates who have supported executives.
Tertiary education or above is required.
