- Administer payroll activities for Belgium, the Netherlands, and Luxembourg, ensuring timely and accurate submission of payroll mutations to the external provider.
- Provide HR information and reporting to management.
- Prepare employment contracts and documentation for new hires and leavers, including notifications and employee forms.
- Monitor employment contract end dates and ensure timely confirmation of extensions or terminations in writing to employees.
- Produce confirmation letters related to contract renewals, terminations, job changes, salary adjustments, development plans, and disciplinary actions.
- Address ad hoc HR administrative queries from employees.
- Administer benefits including healthcare, pension, and leave days.
- Monitor holiday and sickness absence policies, liaise with necessary services on absence cases, and maintain comprehensive documentation related to sickness absence and reintegration planning.
- Enter starter and leaver information into all systems.
- Contribute to ad hoc projects as requested.
- Manage onboarding and offboarding processes, including integration of starters and leavers on multiple platforms, welcoming new starters, and explaining HR administration.
- Minimum 5 years of relevant HR and Payroll administration experience.
- Fluency in Dutch, French, and English, both written and verbal.
- Strong administrative skills.
- Practical knowledge of relevant employment legislation, including HR administration, payroll, and sickness management.
- Excellent knowledge of MS Office, particularly Excel.
- Proficiency in HR and Payroll software.
- Exceptional communication skills, both written and verbal.
- Attention to detail, accuracy, and structured approach.
- Proactive and fully committed to all aspects of work.
- Efficiency in managing tight deadlines and multitasking.
- Ability to interact effectively with employees, line managers, and external contacts.
- Trustworthiness with high standards of ethics, integrity, and confidentiality.
Minimum 5 years of relevant HR and Payroll administration experience.
The position offers a hybrid working mode, allowing flexibility between the Belgium and Netherlands offices.
