LVMH Executive and Marketing Assistant

- Provide comprehensive secretarial and administrative support to the Managing Director, TR APAC, including documentation, expense claims, meeting scheduling, travel booking, and visa applications.
- Coordinate and book travel arrangements for group business trips, adhering to company T&E guidelines.
- Plan, track, and monitor the Travel & Entertainment (T&E) budget and expenses for the Managing Director, TR APAC.
- Assist with filing purchase requests and invoices in Concur, and manage recharging instructions to the Finance team.
- Organize regional meetings, training sessions, workshops, and conferences, both virtual and in-person, under the guidance of the Managing Director, TR APAC.
- Consolidate information, reports, or presentations from various markets for review by the Managing Director, TR APAC.
- Manage the team calendar for regular meetings and events, and support logistics for visitors from other regions and maisons.
- Provide administrative support for commercial and marketing initiatives, including the coordination of local gifting opportunities.
- Assist in planning and coordinating key marketing activations, ensuring timely preparation of post-activation reports and documentation.
- Maintain an organized regional archive of marketing activations, guidelines, and materials in collaboration with the Marketing Director.
- Support vendor management processes and track marketing activation expenses.
- Prepare clear and timely internal marketing reports and presentations.
- Minimum 3 years of relevant experience in coordination, communication, or marketing support at a regional level.
- Proficiency in Microsoft Applications (PPT, Excel, Word, Teams, OneDrive, SharePoint) or Google Workspace.
- Experience with Concur.
- Strong planning, organization, and implementation skills with a keen attention to detail.
- Ability to communicate independently and follow up with stakeholders effectively.
- Capacity to work under tight timelines with prioritization skills.
- Excellent relationship-building and service-oriented skills.
- Fluent in written and spoken English; working knowledge of French or Mandarin is advantageous.
- Ability to manage confidential information with discretion.
Minimum 3 years of relevant experience in coordination, communication, or marketing support at a regional level.
