- Provide professional reception and visitor management services.
- Operate and organize the telephone switchboard.
- Sort and distribute mail, manage courier services.
- Serve as the point of contact for building management, maintenance, and cleaning services.
- Manage office supplies and conference refreshments, maintain the office kitchen.
- Organize orders for printing materials for stores and the head office.
- Prepare and send birthday cards, gift vouchers, and floral arrangements for employees.
- Organize and book travel arrangements for head office and store staff, as well as clients and guests for events.
- Support conferences and training sessions with catering, material provision, and reservations.
- Review and account for travel and hotel invoices, monitor travel bookings.
- Assist with interim housing searches for management staff.
- Organize small internal events to enhance employee well-being.
- Completed commercial training (e.g., foreign language correspondent, hotel management).
- Minimum of 2–3 years of professional experience in a similar role.
- Excellent German language skills, both written and spoken.
- Proficient English language skills, both written and spoken.
- French language skills are advantageous.
- Strong customer and service orientation.
- Independent, solution-oriented, and organized work style.
- Proficiency in MS Office and experience with travel bookings.
- Team spirit, strong communication skills, and a well-groomed appearance.
- Friendly telephone manner and high level of collegiality.
A minimum of 3 years of experience in a comparable position is required.
Completed commercial training (e.g., foreign language correspondent, hotel management).
