- Provide comprehensive administrative support to the Global Chief Communications Officer, ensuring seamless coordination of complex schedules.
- Manage the diary of the Global Chief Communications Officer in alignment with team members, peers, and business partners.
- Coordinate meetings and events across multiple time zones, adapting to shifting priorities and anticipating needs.
- Organize travel arrangements in accordance with global business calendar imperatives and personal requirements, adhering to travel and expense policies.
- Compose and prepare correspondence in English and French as needed.
- Organize meetings, ensuring all logistical details are meticulously arranged.
- Coordinate briefing packs and documents for meetings.
- Support long-term schedule planning for the Global Chief Communications Officer, up to 18 months in advance.
- Manage recurring and ad hoc tasks, including ordering supplies, managing correspondence, and maintaining stakeholder contacts.
- Maintain diligent electronic records of receipts and process expenses in a timely manner.
- Act as a key support in managing inbox and information flow, prioritizing key messages and follow-ups.
- Previous experience in an Executive Assistant role (5+ years), ideally within a global or complex organization.
- Fluency in English and French, both verbal and written.
- Exemplary organizational and coordinating skills.
- Strong communication skills.
- Ability to prioritize workload and manage spontaneous scenarios.
- Professionalism and discretion in handling confidential information.
- Ability to work independently and as part of a team.
- Attention to detail and client-oriented demeanor.
A minimum of 5 years of experience in an Executive Assistant role, preferably within a global or complex organization.
