Chanel Administrative Assistant

- Manage complex calendars and schedule meetings across time zones in collaboration with the Chief of Staff for Arts, Culture & Heritage.
- Update and maintain the event invitation tracker and ensure provisions for meetings.
- Organize detailed travel itineraries, including flights, accommodations, visas, and ground transportation.
- Process expense reports accurately and in compliance with internal policies.
- Maintain contact databases, distribution lists, and shared team resources.
- Oversee mailing processes for internal publications and seasonal gifting.
- Support invoice processing and supplier onboarding.
- Ensure confidentiality and discretion in all office matters.
- Collaborate with other assistants and departments for alignment and continuity.
- Identify and implement process improvements for administrative workflows.
- Proven experience in an administrative role.
- Strong written and verbal communication skills in English; knowledge of French is a plus.
- Exceptional organizational and time-management skills.
- Proficiency in Microsoft Office Suite, Coupa, Concur Travel & Expenses, and calendar management tools.
- Discretion and diplomacy.
- Proactive mindset and problem-solving skills.
- Ability to build productive working relationships globally and locally.
Proven experience in an administrative role is required.
