Boucheron Administrative Assistant

- Facilitate and streamline operational management by acting as a liaison between various departments within the Operations Department and the broader company.
- Manage dynamic scheduling, including planning and modifications, for the Operations Director and team.
- Coordinate complex meetings, including those with executive committees.
- Handle expense reports using Concur for the COO and direct reports.
- Organize all travel arrangements for the COO and complex travel for operations teams, including client and partner engagements.
- Plan and execute various events such as seminars, team gatherings, and supplier cocktails.
- Oversee onboarding processes for the department, including equipment orders and meeting coordination.
- Prepare Excel files, create pro-formas, and manage packaging and labeling tasks.
- Update tracking tools and Excel files, and manage IT tickets.
- Maintain and update information in M3, including Kimberley Process and Quick Mounting.
- Welcome partners and manage COO appointments.
- Update departmental tools, organizational charts, and email distribution lists.
- Maintain governance documents and job description files.
- Create an Operations Newsletter and draft procedural documents for onboarding and expense reporting.
- Coordinate with general services for workplace management and order supplies for the department.
- Proven flexibility and adaptability in a dynamic work environment.
- Strong task prioritization skills.
- Keen sense of initiative and ability to manage multiple activities simultaneously.
- Demonstrated autonomy, rigor, and responsiveness.
- Fluency in English is essential.
- Proficiency in Microsoft Excel, Word, and Outlook.
- Strong organizational and communication skills.
- Ability to work collaboratively across departments.
Experience in administrative roles within a corporate environment, preferably in the luxury sector.
