- Facilitate and streamline operational management by acting as a liaison between various departments within the organization.
- Manage dynamic schedules, including planning and modifications.
- Coordinate complex meetings, including those with executive committees.
- Handle expense reports using Concur for the COO and direct reports.
- Organize all travel arrangements for the COO and complex travel for operations teams.
- Plan and execute various events such as seminars, team gatherings, and supplier cocktails.
- Oversee onboarding processes for the department, including equipment orders and meeting arrangements.
- Welcome partners and manage appointments for the COO.
- Update departmental tools, organizational charts, and email distribution lists.
- Maintain governance documents and job description files.
- Update IT files and create an Operations Newsletter.
- Draft assistant procedures for onboarding and expense reports.
- Coordinate with general services for workplace management.
- Order supplies for the department floor.
- Proven ability to react promptly and work independently.
- Strong sense of initiative and ability to manage multiple tasks simultaneously.
- Excellent organizational skills with a focus on anticipation and prioritization.
- Fluency in English is essential.
- Proficiency in Microsoft Excel, Word, and Outlook.
- Strong communication and interpersonal skills.
- Attention to detail and problem-solving abilities.
Previous experience in an administrative support role, preferably within the luxury sector, is required.
Bachelor's degree or equivalent experience preferred.
