Guerlain Executive Assistant Apprentice

- Manage and optimize a complex and dynamic calendar, ensuring agile prioritization and confidentiality.
- Organize domestic and international travel, including all logistical arrangements such as visa applications, flight bookings, and accommodations.
- Anticipate and coordinate meetings, prepare agendas, book meeting rooms, and take minutes to share as necessary.
- Process and track expense reports.
- Occasionally assist in preparing presentation materials and ad hoc analyses.
- Build strong relationships with other departments within Guerlain and the LVMH Group to facilitate operational collaboration.
- Contribute to the onboarding of new team members, including organizing welcome breakfasts and providing necessary materials.
- Oversee office management tasks such as ordering supplies, managing mail, and coordinating IT support.
- Act as a liaison to ensure effective communication and directive relay within the team.
- Organize informal team events to strengthen existing bonds.
- Handle supplier creation, purchase orders, and invoices.
- Bachelor's degree in management or administration (BAC+2/3) with some experience in assistant or coordination roles.
- Experience in the luxury or cosmetics sector is advantageous.
- Strong autonomy and organizational skills with the ability to manage priorities and tasks with confidentiality.
- Agility, curiosity, and attention to detail.
- Excellent interpersonal skills and adaptability to new situations and diverse stakeholders.
- Proficiency in English for daily communication.
- Proficient in Microsoft Office Suite and experience with billing software, ideally SAP.
Entry-level experience in assistant or coordination roles.
Bachelor's degree in management or administration (BAC+2/3).
