Officine Panerai Marketing and Communications Coordinator

- Maintain an integrated department calendar and 360-degree action plan for all distribution points.
- Support the creation of strategic overview decks and presentations.
- Compile and share monthly competitive reports.
- Facilitate special projects ensuring 360-degree coordination and cross-functional integration.
- Collaborate with various departments such as Logistics, Sales, Finance, Legal, Security, and Procurement.
- Provide administrative support as required.
- Manage SAP vendor onboarding, purchase order creation, invoice submission, and tracking.
- Support budget management with monthly accruals and regular reporting.
- Coordinate sample trafficking for events, press requests, photoshoots, and partnerships.
- Manage consignments and conduct bi-annual audits of samples.
- Coordinate with HQ Communications Team and Manufacture to secure samples for press opportunities.
- Distribute press releases and maintain media contact lists.
- Support PR agency management and monitor press coverage.
- Maintain databases of prop managers, stylists, and celebrity influencers.
- Ensure timely delivery of media assets and support social media initiatives.
- Assist in event preparation and execution, including guest management and vendor coordination.
- Support CRM initiatives, including newsletter copywriting and client gifting.
- Bachelor's degree in marketing, communications, finance, accounting, or a related field preferred.
- 2-3 years of experience in administrative roles with strong communication skills.
- Proficiency in Microsoft Office Suite; experience with SAP and Bumblebee is advantageous.
- Experience with sample trafficking is a plus.
- Ability to lift up to 45 pounds.
- Availability to work a minimum of 4 days per week in the New York office, including evenings and weekends as needed.
- Capability to thrive in a fast-paced environment while managing multiple projects.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite.
- Familiarity with SAP and Bumblebee systems.
- Detail-oriented with a focus on accuracy and compliance.
- Ability to work collaboratively across departments.
2-3 years of relevant experience in administrative, communication, and organizational roles within a fast-paced environment.
Bachelor's degree in marketing, communications, finance, accounting, or related field preferred.
Expected salary range: $28 - $32 hourly, determined based on relevant skills and experience.
