- Provide comprehensive administrative support to the Senior Vice President of Hennessy and the Senior Vice President of IS&T, ensuring efficient management of daily business activities.
- Oversee calendar management, coordinating with other executive and administrative assistants to optimize scheduling and align with business priorities.
- Handle email communications, prioritizing, resolving, and responding as necessary, while maintaining professionalism and confidentiality.
- Organize travel arrangements, adhering to budgetary and scheduling constraints, and ensuring seamless execution of all travel plans.
- Prepare and distribute monthly travel and expense reports for team members in both departments.
- Compile and prepare agendas, presentation decks, and meeting materials for effective execution of internal and external meetings.
- Coordinate logistics for internal and external events, including venue selection, catering, technology setup, and participant management.
- Monitor departmental budgets, approve and reconcile vendor invoices, and collaborate with legal and procurement teams for contract management.
- Maintain discretion with sensitive information and provide onboarding training for new team members.
- Adapt to evolving business needs with a proactive and detail-oriented approach.
- Bachelor’s Degree required; MBA or Master’s preferred.
- Minimum 3 years of administrative support experience, with a preference for executive-level support.
- Experience in the wines and spirits or luxury consumer goods industry is advantageous.
- Proficiency in administrative systems, particularly PowerPoint, Outlook, Excel, and Zoom.
- Exceptional organizational skills and meticulous attention to detail.
- Strong verbal and written communication skills.
- Ability to prioritize tasks effectively with minimal supervision.
- Familiarity with budget management and invoice processing is preferred.
Minimum of 3 years in administrative support, with significant experience supporting executives preferred. Experience in the luxury consumer goods or wines and spirits industry is advantageous.
Bachelor’s Degree required; MBA or Master’s preferred.
Competitive salary ranging from $78,000 to $98,000 annually.
