Moët Hennessy Administrative Executive

- Prepare and submit Concur expense claims for the Regional President and HR team in accordance with finance deadlines.
- Coordinate travel bookings and visa arrangements using Concur Travel for the Regional President and HR team.
- Set up new vendors and ensure accurate documentation for regional initiatives such as events and special projects.
- Liaise with vendors on invoicing and payment to ensure timely processing.
- Track and reconcile monthly administrative expenses for the President, HR, and Facilities budgets.
- Monitor and approve department budgets using Excel, and prepare financial summaries as requested.
- Manage calendar invites for key APAC events and meetings.
- Provide administrative support to the APAC Business Development Director as needed.
- Support preparation of APAC events, including agenda, logistics, and guest coordination.
- Coordinate office events and activities with the Social Committee.
- Assist in the preparation of presentations and materials.
- Manage the APAC HR calendar and coordinate the monthly HR newsletter.
- Support logistics for HR and office events, including training sessions and visitor itineraries.
- Create and update organization charts on HR SharePoint.
- Coordinate the MH employee list for Maison sales.
- Bachelor's degree in Business Administration, Human Resources, or a related field preferred.
- Proven experience in an administrative support role, ideally supporting senior executives in a corporate, multinational environment.
- Proficiency in Microsoft Office Suite, particularly Excel.
- Experience with expense management platforms such as Concur.
- Familiarity with design tools like Canva and SharePoint.
- Exceptional organizational skills and attention to detail.
- Strong verbal and written communication abilities.
- Proactive and resourceful with the ability to manage multiple priorities.
- Ability to handle confidential information with discretion.
Minimum 3 years of experience in an administrative support role, preferably within a corporate, multinational environment.
Bachelor's degree in Business Administration, Human Resources, or a related field preferred.
