- Manage the Front of House Reception at the London office, welcoming all visitors and handling deliveries.
- Oversee the daily running of the office, including arranging postage and managing office security.
- Professionally handle and direct all incoming calls for the London office.
- Act as the primary point of contact for internal departments and external contacts.
- Maintain office security by being a key holder and ensuring the office is opened promptly at 8:30 AM, Monday through Friday.
- Receive, distribute, and log post and watches using the in-house database.
- Manage and track stock held in the office.
- Organize and receive couriers and deliveries, completing all relevant documentation.
- Arrange and plan meetings, manage the office diary, and organize refreshments and lunches for staff and visitors.
- Serve as the point of contact for all office suppliers, managing orders and stock of supplies such as drinks, plants, stationery, and newspapers.
- Ensure the presentation of the office is maintained to high standards.
- Liaise with the PR Agency and assist the Communications Manager with couriers, loan forms, and other arrangements for press and photoshoots.
- Assist the PA with ongoing projects.
- Support the Marketing team in organizing trainings, preparing agendas, transport arrangements, and event logistics.
- Assist the Marketing team in monthly budget reconciliation using SAP to create Purchase Orders.
- Support the Marketing team with event management, including transport arrangements and POSM delivery coordination.
- Assemble monthly Press Review documentation.
- Assist LVMH Watch brands with ad hoc projects.
- Maintain the magazine library.
- Experience in office, customer service, or reception roles.
- Experience working with senior team members.
- Office management experience.
- Excellent PC skills with high accuracy.
- Ability to deal with people in a highly professional manner.
- Appreciation of luxury brand values.
- Ability to prioritize and plan workload according to strict deadlines.
- Capability to work under pressure with strong numeracy and accuracy.
- Flexibility to handle change and work as part of a team.
- Effective written and verbal communication skills.
- Professionalism, conscientiousness, and reliability.
Beginner level experience in office management or customer service roles.
