- Assist in coordinating maintenance and minor works projects across stores and Head Office, liaising with security providers and contractors.
- Schedule security arrangements for pre-planned maintenance and minor works.
- Oversee minor works and maintenance projects, ensuring timely completion.
- Review consumable invoices and expenditures for various services.
- Support the Facilities & Maintenance Manager in obtaining and reviewing quotes.
- Proactively liaise with store management to address and rectify issues impacting trade.
- Foster relationships with external contractors and store management for effective communication.
- Conduct regular site visits and facilities management walkthroughs with operations and store managers.
- Review workflow processes and ensure completion of goods receipts in line with monthly deadlines.
- Manage department cost plans and purchase order tracking, adhering to Paris reporting procedures.
- Prepare monthly budget reports and support financial forecasting.
- Manage power automate flows for store QR code systems for maintenance requests.
- Update compliance trackers and manage documentation on shared drives.
- Record and audit energy consumption data for stores and Head Office.
- Support vendor creation setup and audits.
- Previous administration experience within a facilities management environment.
- Excellent written and verbal communication skills.
- Strong proficiency in Excel.
- Familiarity with Microsoft Power Automate is preferable.
- Ability to prioritize a varied workload and work independently.
- Strong organizational skills and ability to meet tight deadlines.
- Team player with strong interpersonal skills.
- Agility to be on call outside of regular hours.
Beginner level experience in facilities management or a related administrative role.
