- Develop and implement payroll and personnel administration strategy in collaboration with HR and executive management.
- Define and evolve internal procedures to ensure quality, compliance, performance, and risk management.
- Maintain continuous monitoring of social legislation, case law, collective agreements, and applicable tax regulations.
- Ensure compliance with legal, contractual, and conventional obligations.
- Supervise and secure the entire payroll process, from data collection to payslip issuance and payment.
- Validate payroll software and HRIS configurations in collaboration with IT teams and external providers.
- Manage social declarations, social charges, taxes, and contributions within deadlines.
- Oversee relationships with social, fiscal, retirement, and insurance organizations.
- Control final account balances, end-of-contract indemnities, and specific treatments (bonuses, profit-sharing, etc.).
- Oversee the management of the employee lifecycle: employment contracts, medical visits, absence and leave management, amendments, attestations, exits, and disciplinary actions.
- Ensure proper maintenance of personnel files and compliance with GDPR standards.
- Coordinate work time management (day packages, time tracking, modulation, on-call, overtime).
- Supervise the implementation of internal policies (telework, mobility, social benefits).
- Manage, support, structure, and develop a team of payroll managers, HR administration officers, and HRIS specialists.
- Define roles, responsibilities, and objectives, and organize workload distribution.
- Foster a culture of quality, reliability, and service among internal clients.
- Conduct regular team meetings, coordinate activities, and ensure adherence to critical deadlines (payroll closure, declarations, audits).
- Actively participate in the evolution or deployment of HRIS, payroll software, time management, HR document management, or employee portals.
- Propose and implement actions for optimization, simplification, and automation of internal processes.
- Lead cross-functional HR projects (payroll process redesign, post-merger harmonization, outsourcing, etc.).
- Monitor internal/external audits and implement necessary corrective actions.
- Provide social analyses to management: reports, HR dashboards, performance indicators, payroll expenses.
- Minimum 15 years of management experience in payroll and personnel administration within a large, diverse organization (Retail, Operations, Supply Chain).
- Fluent in English and French; proficiency in Italian is advantageous.
- Expertise in labor law and social law regulations.
- Proficiency in Success Factor and Meta 4 software.
- Strong communication skills with diplomacy.
- Exceptional organizational skills and adaptability.
- Proactive and service-oriented mindset.
Minimum 10 years of experience in payroll and personnel administration management.
