Louis Vuitton Administrative Assistant

- Serve as the liaison and provide support to various Head Office departments such as HR, Finance, and Accounting in administrative matters including payroll, monthly reporting, employee benefits, and supplier contract management.
- Coordinate with various suppliers and partner companies, and manage all governmental affairs.
- Create and manage the staffing schedule for a team of over 100 employees.
- Coordinate travel arrangements for all store employees and handle subsequent expense reports.
- Manage employee inquiries and oversee various employee-related matters.
- Oversee the procurement and inventory of office supplies, kitchen utensils, customer gifts, etc., including budget management.
- Coordinate the cleaning staff within the store.
- Support the management in strategic projects and prepare for meetings.
- Experience in assistance/administration within a dynamic, multicultural environment is advantageous.
- Trustworthy, loyal, and reliable in handling confidential information.
- Team player with excellent communication and flexibility within the admin team.
- Proficient in German and English, both spoken and written.
- High level of organization and proactive thinking.
- Competent in Microsoft Office applications (especially Excel, ideally SAP, Concur) and IT in general.
- Ability to multitask and work under deadlines.
- Solution-oriented, open, autonomous, adaptable, quick learner, and empathetic.
