Gucci Visual Merchandising Coordinator

- Consolidate and submit periodic visual merchandising (VM) reports and updates to Global Visual, including window and lightbox installations, monthly VM rotation reports, and in-store event and activation VM setup reports.
- Maintain digital and physical archives of VM guidelines, reports, and project documents in the VM shared drive.
- Share VM guidelines, visual releases, and regional implementation reports with the VM team and relevant departments.
- Support the creation of regional VM guidelines and initiatives for periodic roll-out to the SAP VM team.
- Coordinate the placement of Visual Tools orders from country VMs to the Global VM production team and follow up on delivery status.
- Handle administrative tasks related to logistics for window props/VM tools, including shipping documentation and coordination with supply chain and local logistics teams.
- Support the distribution and rebalancing of VM tools between stores and countries as required.
- Update inventory lists of VM tools per store, per market periodically.
- Prepare, raise, and track purchase orders related to VM projects.
- Ensure timely follow-up with vendors, finance, and internal stakeholders.
- Maintain accurate records of all quotations, invoices, and payment tracking.
- Support special VM setups and monthly store setups for stores in Singapore.
- Assist in scheduling, preparing meeting notes, and follow-up action lists for the VM team.
- Support ad-hoc administrative tasks assigned by the Regional VM Director.
- Previous experience in administration, coordination, or retail operations in the luxury/fashion industry is preferred.
- Strong organizational and multitasking skills with a proactive attitude.
- Proficiency in Microsoft Office.
- Detail-oriented with strong follow-up and communication skills.
- Ability to work independently and manage priorities under tight deadlines.
Previous experience in administration, coordination, or retail operations within the luxury or fashion industry is preferred.
