- Plan, coordinate, and manage maintenance work schedules for all fashion boutiques and the retail support office.
- Coordinate maintenance and repair assignments with technicians, vendors, and contractors, ensuring timely completion.
- Implement and manage a preventive maintenance program to minimize emergency maintenance activities.
- Provide accurate and timely reports on maintenance operations, ensuring alignment with the regional maintenance plan.
- Regularly visit boutiques to assess conditions and proactively address maintenance issues.
- Act as a liaison between maintenance vendors, boutique teams, fashion office teams, and landlords.
- Report to the Store Planning and Maintenance Manager on maintenance works, monitoring progress for each boutique.
- Work with the Boutique Team to ensure boutiques maintain a presentable image and adhere to safety guidelines.
- Develop comprehensive maintenance checklists for boutiques.
- Provide monthly maintenance reports and yearly vendor performance evaluations.
- Monitor boutique furniture, materials, art pieces, and asset inventory.
- Support planning and tracking of store planning and maintenance budgets.
- Assist in the preparation of cost estimates, vendor quotations, and purchase requisitions.
- Coordinate with cross-functional teams for timely PO issuance, invoice processing, and budget tracking.
- Manage procurement documentation processes, ensuring compliance with finance management requirements.
- Maintain up-to-date documentation for all project and maintenance activities.
- Ensure accurate record-keeping of contracts, vendor agreements, and project communications.
- Proactively flag potential budget deviations and support resolution.
- Contribute to the development of reporting tools to monitor spending versus forecast.
- Support logistics and tracking of overseas shipment arrivals for imported maintenance materials.
- Provide administrative and coordination support for store planning and maintenance projects.
- Set up and provide accurate reports and activity planning for various timelines.
- Bachelor's Degree in Architecture Design, Interior Design, Engineering, or Administration.
- High levels of computer literacy, including Word, Excel, PowerPoint, Photoshop, and Illustrator.
- Good communication skills in both written and spoken forms.
- Detail-oriented with a strong understanding of design integrity and layout optimization.
- Proficient in interpreting technical documentation.
- Knowledge of maintenance practices and preventive care for fixtures, equipment, and finishes.
- Ability to read technical drawings and review layouts.
- Flexibility in working hours, including occasional night shifts or weekend work.
- Good understanding of interior design, mechanical, electrical, plumbing, and security systems.
- Interest in luxury retail environments, brand aesthetics, and client experience.
Minimum 5 years of experience in Facilities/Maintenance Operations Management, Administration work, or as a Project Coordinator.
Bachelor's Degree in Architecture Design, Interior Design, Engineering, or Administration.
