Chanel Administrative and Financial Assistant

- Manage the financial administration of operational credits for the Heritage Department's five divisions.
- Assist suppliers in account creation and invoice submission processes.
- Input purchase requests and service receipts, ensuring accurate budget tracking.
- Collect and process office supply orders for the department.
- Maintain supplier relationships, including account creation and updates in COUPA and Basware.
- Formalize orders based on purchase types and allocation codes provided by the operations manager.
- Monitor order validation processes and follow up as necessary.
- Transmit orders to suppliers when required.
- Verify service completion dates with Heritage Department staff.
- Receive services in COUPA, ensuring accurate record-keeping.
- Support suppliers in resolving invoice rejections with accounts payable assistance.
- Keep the budget tracking table for the Heritage Department up-to-date.
- Archive quotes, orders, and invoices systematically.
- Stay informed about updates in COUPA and Basware systems.
- Assist the operations manager in the year-end budget closure.
- Previous experience in administrative and budget management.
- Proven organizational skills and attention to detail.
- Ability to adapt and collaborate effectively.
- Proficiency in Microsoft Office, particularly Excel.
- Strong interpersonal and communication skills.
- Ability to manage multiple tasks efficiently.
A minimum of initial experience in administrative and budget management is required.
