Celine Executive Assistant

- Coordinate and manage complex calendars for the Director and team, ensuring optimal time management.
- Plan and organize internal and external meetings.
- Serve as the primary point of contact for information dissemination within the team.
- Facilitate document circulation and preparation of meeting materials.
- Support teams in tracking strategic deadlines such as committees, reviews, and presentations.
- Manage onboarding and offboarding processes for internal and external staff, including access requests and equipment allocation.
- Organize and coordinate team meetings, seminars, and social events.
- Handle logistics for business travel, including reservations and itineraries.
- Prepare necessary documents and presentations for events.
- Monitor and process invoices, ensuring timely payment.
- Manage purchase requests and related administrative tasks.
- Maintain organized administrative records and documentation.
- Oversee office supply orders for the team.
- 5 to 10 years of experience as an executive assistant or in a similar role.
- Ability to manage multiple priorities in a dynamic and multifaceted environment.
- Excellent organizational, communication, and interpersonal skills.
- Discretion and a strong sense of confidentiality.
- Attention to detail and organizational rigor.
- Proficiency in written and verbal communication.
- Aptitude for using information technology tools.
- Fluency in French and English.
Minimum 5 years of experience in executive assistance or similar roles.
