Van Cleef & Arpels Executive Assistant role in New York, supporting the Vice President of Retail Excellence.

Role & Responsibilities

  • Provide core administrative support to the Vice President of Retail Excellence, including calendar management, travel coordination, budget and expense management, and support for planning and negotiating large-scale meetings and ad hoc projects.
  • Proactively manage the Vice President’s travel and meeting calendars, anticipating and resolving scheduling conflicts.
  • Schedule meetings; manage expense reports; process invoices; handle filing, shipping, supply orders and visitors; support large-scale event planning; and coordinate logistics for team meetings.
  • Book domestic and international travel, hotels and car services, and process related expense reports accurately and in accordance with company policies.
  • Improve the efficiency and responsiveness of existing operations and help define operational strategies that streamline important information.
  • Develop, organize, analyze and edit senior-level PowerPoint presentations, Excel spreadsheets and Word documents as needed.
  • Maintain strong relationships with other Executive Leadership Team assistants, senior executives, their direct reports and global colleagues.
  • Send internal communications and announcements on behalf of the Vice President as needed.
  • Assist with onboarding new team members.
  • Organize departmental meetings to support team culture; prepare agendas and take and distribute minutes.
  • Assist the executive with ad hoc projects and key processes, including the annual performance review.

Qualifications

  • Bachelor’s degree.
  • At least 10 years of work experience, preferably supporting luxury retail executives.
  • Events planning and project management experience preferred.
  • Ability to communicate and liaise with executives, leaders and a diverse employee population.
  • Excellent verbal, written and interpersonal communication skills.
  • High level of confidentiality, discretion, professional maturity, emotional intelligence and social etiquette.
  • Advanced-level experience with Microsoft Office; SAP is a plus.
  • Valid work authorization for employment in the USA.
