Van Cleef & Arpels Executive Assistant position in New York supporting Finance & Operations VPs. Salary $95,000–$105,000 annually.
Role & Responsibilities
- Provide scheduling support and calendar management for the Finance and Operations executive leadership team; manage travel schedules and anticipate potential conflicts
- Administer core tasks for the leadership team including meeting scheduling, expense report management, invoice processing, filing, supply ordering, visitor reception, and event planning
- Arrange and process international and domestic travel including hotel and car service bookings; ensure accurate expense reporting in compliance with company policy
- Manage and track departmental budgets, invoices, and expense reports to ensure accuracy, regulatory compliance, and cost-effectiveness
- Foster team culture through organization of departmental meetings, lunches, celebrations, and special projects; prepare meeting agendas and distribute meeting minutes
- Maintain strong collaborative relationships with other Executive Assistants, Senior Executives, direct reports, and global colleagues
- Oversee administrative coordination for Sustainability benefits and initiatives, including volunteer day planning and execution
- Execute special projects from conception to completion with minimal supervision
- Assist with onboarding processes for newly hired team members
- Develop high-level presentations and analytical documents using PowerPoint, Excel, and Word as required
Qualifications
- Bachelor's degree
- Minimum five years of professional experience, preferably in luxury retail executive support environments
- Advanced proficiency with Microsoft Office Suite
- Events planning and project management experience
- Exceptional verbal, written, and interpersonal communication skills
- High level of confidentiality and professional discretion
- Strong emotional intelligence and social etiquette
- SAP experience (preferred but not required)
