Tiffany & Co. in New York seeks an Office Operations Specialist to manage JDIW facility operations, executive support, and vendor coordination.

Role & Responsibilities

  • Manage day-to-day facility operations for a 60–70-person Jewelry Design and Innovation Workshop (JDIW), including vendor management, procurement lifecycle, equipment maintenance and facilities presentation.
  • Lead Health & Safety and MERT initiatives: maintain SOPs, MSDS records, safety equipment (AEDs), and coordinate regulatory inspections with NYFD, DEP and building management.
  • Oversee indirect procurement and budget execution for tools, components, gases (argon/oxygen), services and shop supplies; track purchase orders and reconcile invoices.
  • Serve as primary JDIW contact for security, IT, PR/filming and external vendors; manage site access, certificates of insurance, and logistics for photo shoots and tours.
  • Provide complex administrative support to senior leaders including calendar management for a Vice President and Senior Director, domestic and international travel arrangements, expense reporting and trade-show logistics.
  • Administer departmental systems: act as SharePoint/intranet administrator, manage Kronos attendance records for model makers, and maintain organizational documentation and research libraries.
  • Plan and coordinate onboarding, intern/contractor logistics, departmental moves, meeting scheduling and conference room approvals to ensure operational readiness.
  • Develop and execute employee engagement initiatives, events and recognition programs, and handle confidential information with discretion.

Qualifications

  • Minimum 6 years of progressive administrative and office support experience supporting large teams and senior-level executives in a fast-paced corporate or creative environment.
  • Proven ability to manage complex calendars, executive travel, expense reporting and cross-functional stakeholder coordination.
  • Demonstrated facility and vendor management experience, including procurement, contractor coordination and basic hazardous materials (MSDS) familiarity.
  • Strong organizational skills, attention to detail, and capacity to prioritize competing, time-sensitive demands independently.
  • Advanced proficiency in Microsoft Office (Outlook, PowerPoint, Excel) and experience administering SharePoint and intranet content.

Experience
