Role & Responsibilities
- Manage complex calendars for multiple senior leaders (VP, Global Customer Experience & Merchandising Product Strategy; VP, Global Visual Experience), including scheduling key meetings and recurring touchpoints with cross-functional partners.
- Plan and coordinate logistics for in-person and virtual meetings, including agendas, meeting room bookings, written materials and catering.
- Administer Microsoft Teams channels and provide basic technical support and IT request coordination when required.
- Oversee travel and expense processes: prepare Travel & Expense reports, reconcile corporate card charges, and manage travel expense budget within company policy.
- Support procurement and accounts payable workflows for the department via the Buying Hub: assist with supplier creation, purchase order processing and invoice reconciliation.
- Draft and produce executive-level correspondence, presentations, agendas and reports.
- Lead and support ad hoc departmental projects from planning through execution — develop schedules, allocate resources, inform stakeholders and ensure quality control.
- Build and maintain relationships with internal administrative partners, vendors and cross-functional teams to facilitate executive priorities.
- Coordinate team culture initiatives, celebrations and milestone events to support employee engagement.
Qualifications
- Minimum 5+ years of administrative or executive support experience; preference for candidates with fashion or retail industry experience.
- Proven experience managing executive calendars and travel for senior leaders.
- High level of proficiency with Outlook calendar management.
- Proficiency in Microsoft Word, Excel and PowerPoint; Mac experience preferred.
- Demonstrated ability to handle multiple priorities, maintain confidentiality, and exercise sound judgment when interacting with executives and external partners.
- Excellent verbal and written communication skills and strong attention to detail.

Experience
At least 5 years of progressively responsible administrative or executive assistant experience, preferably in the fashion or lifestyle sector; demonstrated experience supporting senior executives, managing complex calendars, coordinating travel and expenses, and leading cross-functional projects.
Education
Bachelor's degree preferred or equivalent combination of education and administrative experience.

Compensation
The base compensation for this position ranges from USD 85,000 to USD 95,000 per annum.
