Kate Spade New York seeks Executive Assistant to provide high-level administrative support to the Creative Director in New York. Full-time position with competitive compensation and comprehensive benefits.
Role & Responsibilities
- Manage the Creative Director's calendar with strategic prioritization, coordinating meetings across internal teams and external partners to optimize scheduling and execution
- Serve as departmental liaison on behalf of the Creative Director and team, resolving inquiries and facilitating cross-functional issue resolution
- Coordinate comprehensive logistics for in-person and virtual meetings, including agenda development, room bookings, materials preparation, and catering arrangements
- Oversee travel and expense administration including budget monitoring, corporate card statement reconciliation, and compliance with company policies
- Prepare and submit travel and expense reports in accordance with established protocols and company guidelines
- Administer Microsoft Teams channels, including creation, updates, and maintenance to support team collaboration and communication
- Manage departmental purchasing and procurement via the Buying Hub, including supplier onboarding, purchase order creation, and invoice tracking
- Lead departmental programming and special projects from conception through execution and evaluation, developing project plans, timelines, and budgets
- Build and manage project teams, coordinate resources, and develop detailed schedules to ensure alignment with priorities and deadlines
- Monitor project progress, track deliverables, and provide stakeholder updates while maintaining quality control throughout the project lifecycle
- Organize team engagement activities, celebrations, and milestone moments to foster positive departmental culture and connection
- Draft executive-level correspondence, presentations, agendas, reports, and other materials as required
- Provide technical support as needed, including IT request submissions and troubleshooting of remote or meeting-related issues
Qualifications
- Minimum 10 years of professional experience, with preference for background in fashion or administrative fields
- Bachelor's Degree or equivalent combination of education and professional experience
- Expert proficiency with Microsoft Outlook Calendar and advanced calendar management
- Advanced proficiency in Microsoft Word, Excel, and PowerPoint
- Experience interacting with executives across multiple organizational levels and departments
- Superior judgment, professionalism, and ability to maintain the highest level of confidentiality
- Excellent verbal and written communication skills
- Demonstrated ability to handle multiple competing priorities simultaneously with strong organizational discipline

Demonstrated experience providing high-level administrative support to C-suite or executive-level leadership, managing complex calendars and coordinating across multiple departments and external partners.
