Role & Responsibilities

  • Execute full office procurement processes, from demand verification to order placement, including supplies, facility maintenance materials, and administrative purchases
  • Create vendor codes for new suppliers on BuyingHub, collect required documentation, submit requests, and follow up on questionnaires
  • Track payment workflows for administrative procurement orders, ensure invoice matching and timely processing to avoid overdue payments
  • Conduct monthly expense tracking and reconciliation, compile expense analysis reports, and submit updates to supervisors for budget control
  • Coordinate company vehicles for employee visits and manage shuttle bus updates
  • Issue invitation letters for visitor visa applications and manage APEC cards
  • Organize business meals, meetings, and logistic arrangements
  • Provide routine support for office facility management, coordinating maintenance and handling unexpected administrative issues
  • Assist in organizing and coordinating internal and external EHS inspections, including preparation, on-site support, and corrective action follow-up
  • Manage EHS-related documentation including filing, updating, and archiving compliance records and inspection reports
  • Prepare compliance documents, coordinate audit arrangements, track non-conformances, and ensure timely closure of follow-up actions
  • Assist in organizing fire drills and managing on-site security teams, including shift arrangement, duty performance checks, and safety training
  • Support new hire onboarding including occupational health checks and completion of onboarding checklists
  • Support employee offboarding including occupational health checks and completion of checkout processes
  • Manage attendance system administration including new hire enrollment, leaver records, and timesheet management
  • Manage leave records including annual leave, sick leave, and compensation leave
  • Process monthly payroll movements including NPL/SL, overtime hours, allowances, and quarterly attendance bonuses
  • Assist with work injury cases and follow-ups; coordinate annual occupational health checks

Qualifications

  • College degree
  • 1-2 years of relevant experience in EHS support or general administration roles in manufacturing or office environments
  • Strong English language fluency
  • Proficiency in Microsoft Outlook, Excel, Word, and PowerPoint
  • Highly organized with strong time management and task prioritization skills
  • Strong attention to detail and accuracy
  • High sense of responsibility and self-motivation
  • Effective team collaboration and communication skills
  • Ability to work under pressure
