Role & Responsibilities

  • Manage and coordinate complex schedules for three committee members, organize strategic meetings, and anticipate priorities.
  • Prepare and organize committees, meetings, and internal or external events, including agenda preparation, reservations, participant coordination, and minute-taking.
  • Organize business travel arrangements, including transportation, hotels, restaurants, visa management, and memo drafting.
  • Serve as the primary liaison with internal teams, external partners, and strategic clients, managing calls, emails, and visitor reception with professionalism and confidentiality.
  • Handle expense reports, ensure validation follow-ups, and participate in administrative and budgetary management using SAP, Concur, and FIORI.
  • Support the management of cross-functional projects led by committee members, such as events, product launches, seminars, and workshops.
  • Manage documentation, filing, archiving, and mail distribution.
  • Ensure absolute confidentiality in handling all sensitive information.
  • Coordinate with staff, suppliers, and clients.
  • Oversee office operations, including supplies, meeting rooms, service providers, technical interventions, and general services follow-up.
  • Organize office life, including internal events, access management, and visitor reception.

Qualifications

  • CFC diploma or equivalent with confirmed experience (minimum 5 years) as an executive assistant, ideally supporting committee members.
  • Fluency in French and English (oral and written); additional languages are an asset.
  • Expert proficiency in MS Office tools (Outlook, Word, PowerPoint, Excel) and administrative and budgetary management systems (SAP, Concur, FIORI).
  • Recognized discretion, confidentiality, and diplomacy.
  • Ability to manage multiple tasks simultaneously, anticipate needs, and work autonomously.

Experience
