Role & Responsibilities

  • Provide high-level administrative and organisational support to the executive team, including calendar and email management, prioritisation of requests and preparation of briefing materials.
  • Coordinate domestic and international travel arrangements, itineraries and expense reconciliations for leadership.
  • Plan, schedule and organise internal and external meetings, board-level workshops and client visits; prepare agendas, minutes and follow-up actions.
  • Manage day-to-day office operations: vendor relationships, facilities coordination, reception oversight and inventory of office supplies.
  • Act as the principal point of contact for internal stakeholders and external partners, including retailers, boutiques and service providers.
  • Support HR and finance administrative processes such as onboarding paperwork, invoice processing and basic payroll/expense administration in collaboration with central teams.
  • Drive continuous improvement of office workflows and local procedures to enhance efficiency and executive productivity.
  • Coordinate small events and in-house brand activations at the Eindhoven office or local retail locations as required.

Qualifications

  • Proven experience (typically 3+ years) as an executive assistant, office manager or similar role within a corporate or retail environment; experience in luxury goods or retail is an advantage.
  • Strong organisational aptitude with the ability to manage competing priorities for senior executives.
  • Excellent written and verbal communication skills in Dutch and English; comfort liaising with senior stakeholders and external retail partners.
  • High level of discretion and professional judgement when handling confidential information.
  • Advanced proficiency with Microsoft Office suite (Outlook, Excel, PowerPoint) and digital calendar tools.
  • Proactive problem-solver with attention to detail and a service-oriented mindset.
