Rolex SA seeks an Executive Assistant in Geneva to support the Perpetual Arts Initiative department, managing administrative operations and cultural project coordination.
Role & Responsibilities
- Manage executive calendar including meeting scheduling, travel arrangements, and appointment coordination
- Organize and prepare internal meetings, seminars, and corporate events
- Draft and format executive correspondence, meeting minutes, internal memos, and departmental reports
- Maintain and file administrative documentation with precision and accessibility
- Handle incoming telephone calls, emails, and administrative requests
- Liaise between departments and coordinate interdepartmental communications
- Contribute to communications content creation including newsletters and institutional presentations
- Prepare PowerPoint presentations covering artistic disciplines including cinema, music, and architecture
- Oversee administrative and logistical coordination of artistic and cultural projects
- Prepare funding applications, grant dossiers, and partnership documentation
- Monitor project timelines and ensure coordination among all stakeholders
- Process expense reports and track directorial expenditures
- Maintain and update databases containing contacts, partners, and vendors
Qualifications
- Confirmed experience in executive assistance, preferably in an international environment and within a Communications department
- Demonstrated interest in the arts
- Proficiency with CRM software platforms
- Expert-level command of office productivity suites including Microsoft Office and PowerPoint
- Fluent written and spoken French and English
- Strong discretion and confidentiality awareness
- Ability to manage multiple concurrent tasks with precision and attention to detail
