Executive Assistant for Managing Director at Cartier in Istanbul, Turkey. Fixed-term external contract role requiring Turkish and English fluency.
Role & Responsibilities
- Manage and optimize the Managing Director's calendar, meetings, travel arrangements, and logistics, proactively anticipating scheduling conflicts and prioritizing according to business needs
- Prepare comprehensive meeting agendas, briefing materials, presentations, and key documents for executive review
- Coordinate follow-up on key decisions, actions, owners, and deadlines, ensuring timely execution and flagging topics requiring immediate executive attention
- Prepare confidential correspondence and handle sensitive information with the utmost discretion and integrity
- Manage expense reports and provide selected administrative support for the Managing Director
- Act as a central coordination point between the Managing Director, market leadership team, regional teams, and internal and external stakeholders
- Support the preparation of key messages, presentations, and communications on behalf of the Managing Director
- Coordinate senior stakeholder visits to Türkiye, including agenda development, logistics, and preparation
- Ensure continuity and follow-up on key stakeholder discussions and commitments
- Coordinate internal communications for the market, including leadership messages, announcements, and organizational updates
- Support the preparation and organization of town halls, management meetings, and key internal events
- Support the Managing Director in maintaining the market's executive rhythm, including leadership meetings, key milestones, priorities, and follow-ups
- Coordinate selected cross-functional projects as directed by the Managing Director
- Proactively identify opportunities to simplify processes and improve overall coordination and organizational effectiveness
- Provide coordination support to the Retail team during selected high-traffic periods and key commercial moments
Qualifications
- Proven experience in executive assistance, coordination, project management, communications, or a similar role within a fast-paced international environment
- Experience working with senior leaders or within a matrix organization
- Exceptional organizational and prioritization skills with the ability to anticipate needs and work with limited supervision
- High level of discretion, integrity, and sound judgment when handling confidential and sensitive information
- Proactive, hands-on, and solution-oriented mindset with strong follow-through capabilities
- Excellent written and verbal communication skills with confidence in interacting with senior internal and external stakeholders
- Strong interpersonal and emotional intelligence enabling effective navigation of complex and fast-moving matrix organizations
- Advanced proficiency in Microsoft Office Suite (PowerPoint, Outlook, Word, Excel)
- Ability to manage multiple priorities and adapt quickly to last-minute changes
- Strong service mindset combined with ownership and sound judgment
- Fluency in both Turkish and English
- High level of flexibility and adaptability with willingness to support exceptional business needs
