Van Cleef & Arpels seeks an Executive Assistant in New York to support Finance & Operations leadership with administrative coordination and strategic project management.

Role & Responsibilities

  • Provide scheduling support to Finance and Operations executives; manage travel schedules and resolve scheduling conflicts
  • Execute administrative tasks including meeting scheduling, expense report management, invoice processing, supply ordering, and visitor reception
  • Book and manage international and domestic travel arrangements, hotels, and car services while processing expense reports in compliance with company policy
  • Monitor and track departmental budgets, invoices, and expense reports to ensure accuracy, compliance, and cost-effectiveness
  • Organize and facilitate departmental meetings, team lunches, celebrations, and create meeting agendas and minutes
  • Build and maintain strong working relationships with peer Executive Assistants, senior executives, and global colleagues
  • Coordinate administrative logistics for sustainability initiatives and volunteer day organization
  • Manage complex special projects from conception through completion with minimal guidance
  • Support the onboarding process for new team members
  • Develop high-level presentations, spreadsheets, and documents using Microsoft Office tools

Qualifications

  • Bachelor's degree
  • Minimum five years of professional work experience, preferably supporting luxury retail executives
  • Advanced proficiency with Microsoft Office Suite
  • Experience with events planning and project management
  • Exceptional verbal, written, and interpersonal communication skills
  • High level of confidentiality, discretion, and professional maturity
  • Strong emotional intelligence and social etiquette
  • Ability to liaise effectively with executives and diverse employee populations
  • SAP experience (preferred)
  • Valid work authorization for employment in the USA

The base compensation for this position ranges from USD 95,000 to USD 105,000 per annum.
