Event Coordinator Intern at FHH Foundation, Geneva—support the organization of internal and external events in Swiss watchmaking.
Role & Responsibilities
- Assist in researching and selecting event venues, caterers, technical equipment, entertainment providers, and other third-party service providers
- Support contract negotiation and supplier relationship management, including quote review and ongoing correspondence
- Develop detailed event timelines, production schedules, and reverse timelines in collaboration with the events team
- Manage logistics including invitations, guest lists, accreditations, transportation, and accommodation coordination as required
- Create and prepare event collateral such as badges, signage, presentation materials, and promotional items
- Coordinate with the communications department to update internal and external event promotion materials
- Monitor registrations and RSVP confirmations for accuracy and completeness
- Provide on-site operational support during events, including participant welcome, vendor coordination, and internal team liaison
- Address unexpected challenges and ensure smooth event execution
- Gather participant feedback and contribute to post-event analysis and reporting
- Compile event data and assist in creating performance and impact reports
- Maintain and archive event documentation and resources in centralized databases
- Track event budgets, monitor expenditures, and organize vendor invoices
- Update and maintain contact databases and supplier information systems
Qualifications
- Currently enrolled in or recent graduate of a marketing, business school, communications, or events management program
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Strong written communication in both French and English
- Demonstrated ability to manage multiple priorities and timelines simultaneously
- Attention to detail and organizational excellence
Skills
Experience
Prior experience in event organization through internships, volunteer roles, or university project involvement is advantageous.
Education
Currently pursuing or holding a degree in Marketing, Business Administration, Communications, Events Management, or equivalent university-level qualification.
