Role & Responsibilities

  • Coordinate end-to-end logistics for brand activations, client events, trunk shows and product launches in New York and regional markets.
  • Manage vendor and venue relationships, negotiate terms, oversee contracts and ensure on-time delivery of services and materials.
  • Support budget planning and cost tracking for events, prepare purchase orders and reconcile invoices with finance teams.
  • Collaborate with internal brand, marketing, PR and retail teams to ensure activations align with brand guidelines and creative briefs.
  • Produce event timelines, run sheets, floor plans and staffing rosters; lead on-site execution and liaise with partners during live operations.
  • Maintain guest lists, RSVP systems and client communications; coordinate hospitality, travel and accommodation when required.
  • Capture post-event metrics and produce succinct recaps with actionable recommendations for future activations.

Qualifications

  • Bachelor’s degree in marketing, communications, events management or equivalent professional experience.
  • 2+ years of hands-on experience in event coordination, experiential marketing or brand activations—preferably within luxury goods, high-end retail or agency environments.
  • Proven ability to manage multiple projects simultaneously with meticulous attention to detail and strong organisational skills.
