Role & Responsibilities
- Process, create, and accurately track purchase orders within the ERP system
- Reconcile invoices, match packing slips with purchase orders, and resolve billing discrepancies
- Liaise with vendors to confirm order details, pricing, delivery schedules, and product availability
- Monitor inventory levels and manage ordering of office supplies and consumable factory stock
- Track open orders and coordinate with warehouse and receiving teams to ensure timely deliveries
- Enter craft-related timesheets and prepare payroll documentation
- Investigate and resolve timesheet discrepancies with team leaders, craftsmen, and machinists
- Input approved hours into ERP and transfer data to the accounting system and general ledger
- Assist with production delivery report management and coordinate monthly meeting logistics
- Coordinate shipments with courier companies and manage materials dispatch and receipt
Qualifications
- Proven administrative experience in procurement, production, or accounting environment
- Strong analytical and numerical aptitude with meticulous attention to detail
- Exceptional written and verbal communication skills
- Ability to interact effectively with internal and external stakeholders
- Highly collaborative, team-oriented, and self-motivated
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
