Role & Responsibilities

• Receive new samples, unpack, label, barcode, and verify against documentation before uploading into SAP and creating purchase orders
• Process deliveries from subsidiaries and press shoots, checking against delivery notes and updating SAP systems with consignment transactions
• Organise and place deliveries in stockroom and showroom according to established classification criteria and brand image standards
• Prepare sample send-outs under PR team direction, manage tracking files, and upload deliveries into SAP with appropriate transaction codes
• Process daily international returns, upload delivery records into SAP, and create corresponding sales transactions
• Book and manage courier services to ensure timely dispatch and receipt of shipments
• Conduct regular SAP cycle counts and physical stock takes, identifying and resolving inventory discrepancies with Finance support
• Maintain stockroom security and organisation in compliance with group standards, protecting the integrity of high-value inventory
• Manage end-of-season sample returns to headquarters, uploading send-outs into SAP and creating related sales orders
• Administer celebrity samples trafficking under Celebrity Relations Manager guidance, recording received samples in SAP and managing monthly gift discharges

Qualifications

• Proven experience in inventory management, stock control, and stock reconciliation
• Proficiency in SAP or comparable ERP systems, including goods receipt processing, stock movements, purchase order management, and inventory transactions
• Demonstrated knowledge of sample trafficking, logistics operations, and courier management for both domestic and international shipments
• Strong organisational and planning abilities with capacity to prioritise multiple tasks and meet strict deadlines
• Excellent communication and teamwork skills with cross-functional collaboration capability

Skills

Experience

Strong background in inventory management, stock control operations, and logistics coordination, ideally within a luxury, fashion, or PR environment. Experience with sample handling and international shipment management is advantageous.

Education

Secondary education or equivalent; additional qualifications in supply chain management, logistics, or warehouse operations are desirable but not essential.
