Executive Secretary at Prada Group Hong Kong - Provide secretarial and administrative support to Regional Director, Asia in this luxury fashion role.
Role & Responsibilities
- Organize and coordinate travel arrangements for the Regional Director, Asia and assigned departments, ensuring compliance with corporate travel policy
- Prepare travel expense reports and monitor travel budgets for assigned departments
- Draft and prepare correspondence, presentations, and reports for the Regional Director; maintain organized filing systems
- Schedule meetings and appointments, prepare and coordinate agendas, and record minutes as required
- Screen and prioritize incoming documents requiring the Regional Director's attention or signature
- Coordinate with the Communications Department regarding sponsorship requests and approvals
- Administer leave applications for managers and assigned departments
- Supervise reception and housekeeping staff to maintain office standards aligned with corporate expectations
- Manage office administration including vendor selection, stationery procurement, equipment maintenance, and cost monitoring
- Coordinate communications and administrative compliance with Asia Pacific subsidiaries in accordance with group standards
- Maintain and update contact databases for frequent regional and international usage
- Evaluate performance of appointed travel agents and ensure competitive market pricing
Qualifications
- Proven experience as an Executive Secretary or similar senior administrative role
- Proficiency in MS Office Suite and travel management systems
- Excellent organizational and time management skills
- Strong written and verbal communication abilities in English
- Experience managing executive calendars, travel arrangements, and high-level correspondence
- Ability to handle confidential information with discretion
- Demonstrated capability to supervise and manage support staff

Experience
3–5 years of professional experience in an executive secretarial or senior administrative support role, preferably in a multinational luxury or corporate environment.
Education
Secondary education (HKCE or equivalent) minimum; tertiary qualification in business administration or related field preferred.
