Prada Group seeks Executive Secretary in London for 5-month fixed-term contract supporting Head Office operations across Northern Europe.
Role & Responsibilities
- Arrange and manage travel bookings, accommodation reservations, and travel-related reporting for executives and staff
- Provide comprehensive secretarial and administrative support to Head Office divisions
- Maintain and organize office archives with particular attention to Legal department documentation
- Procure and manage inventory of stationery, pantry supplies, and office materials
- Coordinate production of company stationery and business cards
- Process incoming and outgoing mail and courier services
- Maintain updated contact lists, telephone directories, and fax numbers for staff reference
- Answer and screen telephone calls, taking messages and routing inquiries appropriately
- Ensure all company communications adhere to Group standards and compliance requirements
- Review outgoing correspondence for accuracy, completeness, and proper attachment of supporting materials
- Prepare internal and external communications, memoranda, and reports for distribution
- Support ad hoc administrative projects and office initiatives as required
Qualifications
- Minimum 5 years of professional experience in secretarial or administrative roles
- Proven experience as an executive or personal assistant
- Fluent English language proficiency (spoken and written)
- Advanced proficiency in Microsoft Office suite and standard office software
- Strong organizational and multitasking capabilities
- Italian language skills desirable
