Role & Responsibilities

  • Plan, coordinate and execute client-facing events across Tokyo (private appointments, trunk shows, in-store VIP evenings and off-site experiences) in alignment with brand standards.
  • Collaborate with CRM and omnichannel teams to define target guest lists, tailor invitations, and segment communications for VIP and prospective clients.
  • Manage end-to-end event logistics: venue selection, vendor negotiation, catering, on-site staffing, transportation and hospitality details.
  • Oversee guest-list administration, RSVP tracking, seating plans and access control to ensure a seamless client experience and data integrity.
  • Control event budgets, track expenses, approve vendor invoices and report on spend versus outcomes.
  • Develop post-event follow-up plans with sales and CRM teams to convert engagement into measurable sales and client retention.
  • Produce event performance reports and KPIs (attendance, conversion, average spend, new contacts) and provide actionable insights for future programming.
  • Ensure strict adherence to brand presentation, client confidentiality and high-touch service protocols at every touchpoint.

Qualifications

  • Minimum 3 years' professional experience organising events, hospitality or client programs, preferably within luxury retail, fashion or premium hospitality.
  • Demonstrable experience working with CRM-driven campaigns and integrating events into omnichannel client journeys.
  • Strong organisational skills with proven ability to manage multiple concurrent projects and deliver to tight deadlines.
  • Excellent interpersonal skills with experience liaising with VIP clients, store leadership and external vendors.
  • High attention to detail, discretion and commitment to brand standards.
  • Flexibility to work occasional evenings and weekends for event delivery.

Experience
