Pomellato seeks an Executive Assistant & Project Coordinator in Tokyo to support Japan & Korea leadership; bilingual English/Japanese required.
Role & Responsibilities
- Provide high-level administrative and organisational support to the Japan & Korea leadership, including calendar management, travel coordination, expense processing, and email correspondence.
- Prepare executive-grade presentation materials, reports and documentation; design polished PowerPoint decks for board-level and external audiences.
- Coordinate and manage internal and external meetings: prepare agendas, arrange logistics, capture action items and ensure timely follow-up.
- Support and coordinate cross-functional projects across Retail, HR, Finance, Marketing, Visual Merchandising and global teams; track timelines and deliverables to ensure objectives are met.
- Act as a communication hub between the Executive Office and local/global stakeholders; build productive relationships with internal teams and external partners.
- Maintain strict confidentiality and exercise professional discretion in handling sensitive information.
Qualifications
- Fluency in English and Japanese, both written and spoken (required).
- Advanced proficiency in PowerPoint with proven ability to produce clear, executive-level presentations.
- Exceptional organisational skills with strong multi-tasking and time-management capabilities.
- Proven ability to liaise, coordinate and influence across diverse teams and hierarchical levels.
- Self-starter mentality with strong ownership, initiative and problem-solving aptitude.
- Korean language proficiency is a plus.
- Prior experience in an Executive Assistant or similar role preferred; experience within luxury, consulting, cosmetics, automotive or leading FMCG environments is advantageous.
- Experience working in multinational, fast-paced organisations.

Demonstrable experience supporting senior executives (EA or equivalent) and coordinating cross-functional projects in a multinational or fast-paced environment; prior exposure to luxury retail or other top-tier industries is preferred.
Education
Bachelor's degree or equivalent business-related qualification preferred.
